Email Reports

Configure email delivery settings for your weekly intelligence reports

Email is the primary way most teams receive their RivalReport intelligence. This guide explains how to configure email delivery and get the most from your reports.

Default Email Delivery

By default, weekly reports are sent to:

  • The email address you used to sign up
  • Every Monday morning at 8:00 AM (your local time)

Configuring Email Settings

Changing Delivery Time

To change when reports arrive:

  1. Go to Settings > Email Preferences
  2. Under Delivery Time, select your preferred time
  3. Choose your timezone if not already set
  4. Click Save

Most users prefer Monday morning, but you can choose any day and time.

Adding Team Recipients

Share reports with your team:

  1. Go to Settings > Email Preferences
  2. Click Add Recipient
  3. Enter the team member's email address
  4. Choose what they should receive:
    • Weekly reports
    • Real-time alerts
    • Both
  5. Click Add

Plan limits:

  • Standard: Up to 3 recipients
  • Agency: Up to 10 recipients
  • Enterprise: Unlimited recipients

Removing Recipients

To remove someone from reports:

  1. Go to Settings > Email Preferences
  2. Find the recipient in the list
  3. Click Remove
  4. Confirm the removal

They'll no longer receive reports, but can be re-added at any time.

Email Report Contents

Weekly Digest Structure

Each weekly email includes:

  1. Executive Summary — Key highlights in 2-3 sentences
  2. Competitor Sections — Updates organized by competitor
  3. Category Breakdowns — Pricing, hiring, ads, website, content
  4. Quick Links — Direct links to your dashboard for details

Formatting Options

Choose how detailed your email reports should be:

  • Summary — Brief highlights only (2-3 min read)
  • Standard — Balanced detail (5-7 min read)
  • Detailed — Comprehensive coverage (10+ min read)

To change format:

  1. Go to Settings > Email Preferences
  2. Select your preferred Report Detail Level
  3. Click Save

Real-Time Email Alerts

In addition to weekly reports, you can receive immediate alerts:

  1. Go to Settings > Alerts
  2. Enable the alert types you want
  3. Under Delivery Method, ensure Email is selected
  4. Choose recipients for each alert type

Alert Types Available

  • Pricing changes
  • Leadership hiring
  • New ad campaigns
  • Major website changes
  • New content published

Managing Email Preferences

Unsubscribing from Reports

To stop receiving emails:

  1. Go to Settings > Email Preferences
  2. Uncheck the email types you want to stop
  3. Click Save

Or click Unsubscribe in any email footer.

Re-subscribing

To resume emails:

  1. Go to Settings > Email Preferences
  2. Check the email types you want
  3. Click Save

Troubleshooting

Emails Not Arriving

If you're not receiving emails:

  1. Check spam/junk folder — Add reports@rivalreport.io to your contacts
  2. Verify email address — Ensure it's correct in Settings
  3. Check preferences — Make sure email delivery is enabled
  4. Whitelist our domain — Add rivalreport.io to your email whitelist

Emails Going to Spam

To prevent spam filtering:

  1. Add reports@rivalreport.io to your contacts
  2. Mark RivalReport emails as "Not Spam"
  3. Ask your IT team to whitelist our domain
  4. Add rivalreport.io to your safe senders list

Wrong Time Zone

If reports arrive at unexpected times:

  1. Go to Settings > Account
  2. Update your Timezone setting
  3. Click Save

Reports will adjust to your new timezone.

Email Security

Our emails include:

  • SPF, DKIM, and DMARC authentication
  • Secure links (HTTPS only)
  • No tracking pixels that compromise privacy
  • Clear unsubscribe options in every email
